Select Annual Members Contribution Letters from the Reports menu within Data Analysis to display the form as shown in Figure 3.19, and then click Continue. This option is designed to allow you to print letters to send to members with the amount of their annual contributions for a selected year.

A default letter template will be displayed as shown in Figure 3.20.

Make changes to default letter template such as replacing the top right church information with your information. Also can replace and of the contents of the letter, but first click Show All Field Codes, which will display values that are from the database as shown in Figure 3.21. Note the MERGEFIELD AnnualContribution. This is the amount each member has contributed for the selected year. MERGEFIELD ContributionYear is the selected year. You could replace Church in the text with your church name and alter any of the text such as the signature information.

Once you have made changes to the text, you can click View Letters PDF to preview what the letter look like based on your changes as shown in Figure 3.22. It will create a letter for each member with their annual contribution amount.

Now that you have made changes to the default template and the generated letters are what you want, you need to save the template to be used to generate these letters by clicking Save As, which you can browse your computer and save the template. For example, save it as BibleCommunityChurch.
The next time you open Annual Member Contribution Letters click Open, locate the saved file with your changes. It should contain your changes and you can View Letters PDF to view the letters.
You can have multiple template files, but the key is clicking Open and opening the correct file. You can also use the Save As to create as many version as you like using different file names.
